Booking Terms and conditions for Carmichael Farmhouse

Bookings are made and accepted on the following conditions (if bringing dogs there are separate terms and conditions that also apply link here) so please make sure that you have read and understood before booking online or by telephone. 

Making a booking, payments and cancellation

Confirmation : Bookings are only confirmed once we have sent written confirmation by email or post to you and the deposit has been paid.

Non refundable Deposit, Security Deposit and Full Balance: A non-refundable deposit of 25% is required as confirmation of the booking. The remaining balance will be required 4 weeks prior to entry date. A security deposit of £100 will be due at the same time. This is required to cover any breakages or damages to the property and any excess cleaning after departure. In the event of any breakages or damages to the property and any excess cleaning or refuse removal after departure being more than the security deposit taken, then an invoice will be raised and the lead hirer will be held liable for this invoice.

When the full balance has been paid, 4 weeks prior to the entry date, you will be sent confirmation and directions to the property as well as information on key collection. Last minute bookings must be paid in full with accompanying security deposit if less than 4 weeks before holiday start date. Telephone bookings or email bookings not accompanied by a deposit are provisional bookings and are not confirmed until the deposit is received. You have 7 days to pay the deposit or we reserve the right to cancel the booking.

Cancellation : We recommend that you take out holiday insurance with a suitable provider as bookings are non- refundable and you remain liable for the full cost of the holiday. In the event of cancellation, notice of cancellation must be sent by email (a confirmation of receipt from our office must be obtained) or recorded delivery letter. If there is no cancellation insurance in place and we manage to re-let the property at short notice, we will refund your deposit less a £25 handling fee. If we do not manage to re let the property at short notice then you will be liable for the full cost of the holiday.

The proprietor reserves the right, under circumstances beyond control, (e.g. fire damage, storm damage, flooding or the interruption of utility supplies) to change the booking to a property of a similar standard and grading. Should it not be possible to offer an alternative holiday property, the rental paid will be returned in full to the hirer and the hirer shall have no further claim against the proprietor.

Maximum Occupancy: Carmichael Farmhouse sleeps 8 adults maximum plus 2 children. In certain circumstances, up to 2 extra children can stay in the Farmhouse (there are enough beds if the twin room with double beds is used as a family room and the double sofa bed is used). This must be agreed by Nicola in writing, they must stay in beds provided and there would be an extra cost of £30/child for short break and £50/extra child for a week. We do not cater for more than 8 adults. Infants can also be accommodated and we can provide up to 2 cots and 2 highchairs (extras, please add at time of booking). Only guests and dogs on the booking form have permission to stay in the Farmhouse. At present, we do not cater for parties and we do not allow blow up beds, camp beds, tents, camper vans, motorhomes or extra people staying in the car park , garden or sleeping over in the house.  U18s must be accompanied by an adult.  We cannot cater for more than 3 well behaved dogs (extras,please add at time of booking). The car park and drive is private and suitable for 4 cars for guests that are staying in the farmhouse. We do not allow extra parking of vehicles, trailers, vans or motorhomes on the farm. Guests’ right to occupy the Farmhouse may be forfeited without compensation if the following terms are not adhered to.

Dogs: We allow up to 3 well behaved dogs. There is a charge of £25 per dog/week and they should be declared at time of booking. Puppies must be declared and authorized by Nicola before booking.  All dogs must be house trained and should not be allowed upstairs (there is a stairgate fitted at bottom of stairs), in any bedrooms, on white linen, on furniture or left unattended at any time in the property. If you need to leave your pet at the property it can be secured in the outside kennel. Please clean up after your pet. It is a busy, working farm and dogs must be kept on a lead on farm roads and in the steading. There is a large, enclosed garden but owners must be aware that livestock grazes in the field next to the Farmhouse. They must not enter livestock fields or polytunnels at anytime. All dog mess in the garden and the kennel must be cleared up and disposed of correctly. Muddy dogs must be hosed down outside and towel dried before entering the property at the back door (dog towel provided). Please keep dog towels separate from guest towels. Failure to follow the dog terms and conditions could result in you being asked to leave without any money being returned to you. Arrival and Departure: Entry from 4pm and departure by 10am. Please telephone or text Nicola on 07525730466 or email the week before to arrange key collection. Sometimes it is possible to arrange early entry or late departure.

Carmichael Farmhouse is to be used for the purposes of a holiday let. The booking contract confers a right to occupy the accommodation for the agreed period only. If the hirer and their group fail to exit the property by the agreed time as stated on the confirmation, additional charges may be applied to the hirer’s card, these may include charges for removal of the hirer’s belongings, collection of the said belongings and extra cleaning charges.

Breakages and Damages: Accidents do happen. Please report any breakages or damage to Nicola immediately by telephone, text or email so that we can replace or fix for the next guests. The hirer will be responsible for any damage caused to the property by themselves, or any member of their party. A refundable security deposit of £100 is pre-authorised on your card along with the remaining balance. This is required to cover any breakages or damages to the property and any excess cleaning in farmhouse or garden or refuse or recycling removal after departure. In the event of any breakages or damages to the property and any excess cleaning or refuse removal after departure, being more than the security deposit taken, then an invoice will be raised and the lead hirer will be held liable for this invoice.

Guests agree to keep the property and the fixtures, fittings and effects in or on the property in the same state of repair as at commencement of the holiday, and shall leave Carmichael Farmhouse in the same state of cleanliness and general order in which it was found. Any rubbish and recycling should be placed in the bins provided. Any rubbish or recycling left in the property or at the side of the bins will incur an additional charge for removal. Information on recycling is provided in the Farmhouse.

No smoking in farmhouse or ping pong shed. Outdoor ashtrays must be used and contents disposed of correctly. No cigarette ends or ash to be dropped in garden or patio area.

Complaints: If you have a problem whilst on holiday please contact us as soon as possible and we will do our best to correct the situation. We cannot deal with complaints after the holiday has ended.

Access: We as the owner shall be allowed access to the property at any reasonable time during any holiday occupancy, if required.

Property, Security and Liability: We reserve the right to refuse to hand over the property to anyone, who in our opinion is not suitable to take charge of the property. We also reserve the right to terminate the Contract at any time or remove any person due to unreasonable behavior, smoking in the property, or engaging in any illegal activity or damaging property or breaking the terms and conditions. In such a case no money will be refunded and we will have no further liability to you or any other party.

Whilst the Owners will endeavor to make sure the property meets required standards and the hirer’s expectations, the owners cannot accept responsibility for any alterations to the property, surrounding vicinity or amenities that affect the holiday, which are beyond reasonable control e.g  power cuts, road works, water main leaks, failure of third party services (e.g. oil deliveries or Sky TV/telephone/internet services/wifi) work being carried out on surrounding properties etc Nor can they accept any liability for any injury, sickness, loss, damage, additional expense or inconvenience caused by or arising out of using the Property and its appearances, plumbing, electrical or otherwise, exceptional weather conditions or the hirer’s negligence. Furthermore, no responsibility is accepted for the personal belongings, car and its contents of the hirer or any member of the party during the holiday.

Carmichael Farmhouse is situated at the steading of a busy, working soft fruit and livestock farm. All guests that make a booking agree that they are responsible for themselves, their children, any vulnerable adults and their dogs whilst staying in Carmichael Farmhouse at all times. You agree that dogs will be kept under control at all times and children will be supervised at all times on the farm. The gates to the garden and property should be kept shut at all times. Further details and instructions and emergency numbers can be found in the information folder on the coffee table in the Farmhouse.

The Farmhouse is equipped with Carbon Monoxide, fire alarms, fire extinguishers and fire blankets and fire assessments are carried out annually.

Rates: The rates include all bed linen, towels (1 bath towel, 1 hand towel per person), electricity, VAT, logs, kindling and firelighters for the stove, BBQ and a starter pack (varies depending on season and short break or longer stay).  Please note we do not charge extra for wifi or Sky TV multiroom but we cannot guarantee these services at any time. At present we do not charge extra for credit cards.

Short breaks when available are charged at 75% of the weekly rate for 3 nights and 80% for 4 nights.

Extras: All extras should be added at time of booking. If they are added at a later date or on arrival, there will be an administration cost.

Linen for the double sofa bed can be provided on request at a cost of £20 (Please do not use the sofa bed without linen and a bed protector).

Cot (£10/stay), highchair (£5/stay) and extra stairgate (£15) can also be provided at an extra charge (cot bed mattress protector is supplied in the cost but cot bed linen not provided). Please add to booking form.

Dogs (£25/dog) . Dog baskets available, dog towels, some poo bags provided(dog bedding not provided).

Extra child (£30/child for short breaks £50/child/week) – must be pre authorised

Changeover dates

High Season and school holidays – Friday to Friday only

Mid season –  minimum 3 nights, any stay beginning or ending on a Monday or Friday

Low season – (January and November, December (excluding Christmas and New Year). Can be more flexible. Minimum 2 night stays, starting on Friday, Monday, Wednesday. Variations do occur. If you see something listed as available but cannot book it please contact us. If you are booking within a short time period or last minute (under 2 weeks), then most of these restrictions will be relaxed.
